Management

Origin assigns a Project Manager, full-time or part-time, to every project in its business portfolio. As part of the overall management of the project, our Project Manager is responsible for providing structured management and documentation for Origin’s hours and expenses. Our process includes weekly reporting of individual time and expenses to our clients; all of which are regularly reconciled against the budget expectations set out between our clients and Origin, at project initiation. Origin provides detailed receipts and records for all of our fees and travel expenses.

Throughout the effort, Origin remains abreast of all consultant activities, the hour budgets set forth in the work plan, and the actual hours being charged to these activities against budget. Although we have our own SOP for managing our efforts, we are very flexible in our approach should our clients desire to inscribe additional steps into the methodology.

Regarding milestones, when the scope of work allows for it, Origin is comfortable with being evaluated on payment criteria and working with clients to establish the basis for milestone payments. It is very typical for Origin to receive payment on either (a) time or expenses measuring progress weekly, or (b) upon the delivery of pre-set milestones and our client’s assessment of that delivery.

Planning

Origin assigns a Project or Engagement Manager, full-time or part-time, to every project in its business portfolio as well as active oversight by a Portfolio Manager. As part of the overall management of the project, our Project Manager is responsible for providing structured management and documentation. Origin’s engagements begin with requirements, definition of scope of the work and planning.

Communication

A part of the ongoing engagement Origin promotes clear, consistent and regular communications with all levels within the client Organization to ensure that buy in from the end users through management and executive management is continuous. The Portfolio Manager is also involved in constant lines of communications between Origin and the client focusing on making sure avenues of discussion and escalation are always available.

Risk Mitigation

Origin works in conjunction with client management and project teams to ensure that all potential risks are identified and mitigation plans are put in place in a timely manner.

The process by which these are identified is:

  • At project start up, to identify and walk through potential risk
  • Throughout the project during status and strategic planning sessions
  • At end of phases in planning sessions for future phases

The process for mitigation strategies is to analyze the probability and impact of each risk identified and based on the overall score of each to lay out detailed mitigation strategy based on a jointly defined threshold, thereby accepting certain levels of risk

The process for mitigation of each risk is:

  • Prioritize those above the threshold
  • Identify possible solutions to either minimize, or eliminate the risk identified
  • Prioritize solution execution, actions and responsible party
  • Execute mitigation plan
  • Iteratively review for new and existing Risks to ensure mitigation plans are having desired effect, if not then change mitigation plan accordingly.

Escalation

Origin, Inc. is very accustomed to the process by which many organizations operate to obtain the services described in this RFQ. To engage our firm, our clients contact us with their ideas. Origin can engage with you in a collaborative effort to further define the needs, eventually participating in the preparation of a Statement of Work, complete with costs and schedules.

Should you wish to engage Origin in a more specific service level for emergency support, we offer that service with a very specific set of guidelines, response service levels, and fees.

Regarding escalation, Origin is a small, flat organization. During a project where our firm is engaged on-site, our clients regularly contact the project manager for immediate concerns. In cases where our clients have concerns of a broader nature, you should not hesitate to call a member of the management team of our firm.
